Admin careers Kenya. We are looking for an energetic, intelligent and diplomatic professional to provide support to the executive director and the deputy director. The position liaises with all staff, requiring professional discretion and a solution-oriented approach at all times.

Responsibilities
Administrative
Provide logistic support including schedule meetings, file documents, answer email, take phone inquiries, schedule travel arrangements; take minutes for meetings; draft correspondence; organize conference calls, process monthly credit card reconciliations, expense reports and reimbursement requests; handle external communication; track office budgets and assist in the compliance of all procedures and policies
Programmatic
Provide key support in the review and finalization of grants, including reviewing proposals, preparing dockets, monitoring grantee activity; ensuring adequate reporting by grantees and responding to unsolicited funding requests
Help organize and implement the annual OSIEA calendar schedule, work plans and budget forms. Assist in the organizing of the agenda and logistics for four annual staff retreats
Board Liaison
Serve as staff liaison to the OSIEA Regional Board ensuring that all queries and requests are dealt with promptly. Support the board recruitment and orientation process and board learning/development
Organize board book, agenda and logistics for three board meetings annually; take minutes at board meetings and follow up.
Organize and maintain all board documents and the electronic files as well as the board intranet page
Qualifications
At least five years of relevant experience with the ability to work in a complex institution
Minimum first degree in relevant field
Excellent knowledge of computer programs including outlook, excel and power point
Extraordinary initiative, creativity and capacity to think strategically
Ability to communicate clearly and effectively with a diverse array of people
Ability to manage conflict constructively
Team spirit and respectful working and decision-making style
Ability to manage several simultaneous projects in a fast-paced environment
Strong organizational skills and close attention to detail
Integrity, diplomatic manner and professional discretion essential
Frequent travel required
